Follow-up schedule
Use this schedule as a rough guide for staying on top of a HVAC repair issue. Adjust it to any deadlines in your paperwork, which always come first.

| Day 1 | Gather your documents and write a short summary of the problem. |
| Day 1 to 3 | Contact the other side and ask for what you want, in writing. |
| About 1 week later | Follow up if you have not heard back, and note the date. |
| About 2 weeks later | Send a firmer written follow-up with a clear deadline. |
| After the deadline | Escalate to a manager, a complaint office or another outside option. |
| Ongoing | Keep every reply and update your notes after each contact. |
